Identify what you have
Locate your various media and take inventory.  There may be duplicate items or blurry photos you no longer want to save.  Decide what is more important to you and your family.  Some items may include:

Organize and label

  • Put your media in chronological order or organize by theme   
  • Tag file names with who, what, when or where
  • Use masking tape or painter's tape to label boxes and containers

Types of storage

  • CDs for audio files and MP3s
  • DVDs for visual recordings
  • USBs, external hard drives and "clouds" can store all types of files

Notes on storage

  • Make copies of your digital items and store them in different places, including at least one copy in an offsite location
  • Check your media and update these once a year, as technology changes frequently (remember floppy disks, anyone?)
  • Store your analog and hard media in a dry, cool, clean environment.  Minimize light, keep away from radiators, vents, chemicals, and store in acid-free cardboard boxes or metal containers.

*In 2010, the American Library Association (ALA) organized the first National Preservation Week after a 2005 survey reported "that U.S. institutions hold more than 4.8 billion items".  Preserving, or digitizing, these items for future generations is the mission of The Preservation Directorate at the Library of Congress in Washington D.C. and their digitized collections are available for the public for free on their website.
